Privacy policy

This policy explains what information BNH Builders and Roofing LLC, doing business as BNH Roofing (“BNH Roofing,” “we,” “us”), collects, how we use it, who we share it with, and the choices you have. It covers bnhroofing.com, our booking and RoofRead tools, our calls, texts, letters and emails, and our internal job system.

The short version: we collect what we need to give you an estimate and do your job. We don’t sell your information or share it for anyone else’s advertising. You can ask us to see, fix or delete it at any time, and we’ll answer within 45 days.

What we collect

When you book an estimate, call, text or email us

Your name, phone number, email address, and the address of the property.
What you need (for example, a new roof or gutters), whether you own the home, and anything you tell us about the roof.
The appointment time you pick, and any changes or cancellations.
Whether you agreed to text messages, the exact wording you agreed to, and when.

When we estimate and do your job

Roof measurements and aerial images of the property, photos Houston and our crew take on site, your estimate, contract and signature, and notes about the work.
Payment records, such as deposits and final payments. We don’t store card or bank numbers; our payment processors do.
Warranty registrations for your roof.

When you use RoofRead

RoofRead sends the address you pick to free public mapping services run by the Commonwealth of Virginia to find the building’s outline and an aerial photo. We don’t save the street address from a RoofRead check. If you ask us to email you the ballpark, or you book afterward, we keep your email address with the ZIP code, town, roof size and price range we showed you.

How you found us

To learn which marketing works, we record how you reached our site: a search engine, an ad, a letter we mailed (through the code in its QR link), or a referral link. That includes campaign tags in links (“UTM” parameters), ad click IDs, the site that sent you, and the first page you visited. Your browser keeps this for up to 30 days. It’s only sent to us if you book.

How people use the site

We count anonymous steps in booking (for example, “started booking” or “picked a time”) with a random session ID, so we can see where people get stuck. These counts don’t include your name, contact details or address.

From other sources

Ad responses. If you answer one of our Facebook or Instagram ads, our marketing partner passes us the details you entered on the ad’s form.
Referrals. If a customer or partner refers you, they may give us your name and how to reach you.
Public property records. For our mail program we use county property records (owner name, mailing address, and facts like the year a home was built). See Letters and postcards.

We don’t collect Social Security numbers, driver’s license numbers or health information, and we don’t ask for them.

How we use it

To schedule and confirm your estimate, send reminders, and do the work you hire us for.
To measure your roof and prepare your estimate and material order.
To contact you about your estimate, job, warranty and payments.
To ask for a review or referral after your job. You can tell us to stop at any time.
To send letters or emails about our services, which you can stop at any time.
To learn which marketing leads to jobs, so we spend our budget well.
To keep records, honor warranties, prevent fraud and spam, and meet legal and tax obligations.

We don’t sell your personal information. We don’t share it for targeted advertising, and we don’t use it to make automated decisions that have legal or similarly significant effects on you.

We use service providers to run the business. They may use your information only to provide their service to us, and they must protect it.

Cloudflare: website hosting, security and spam protection (Turnstile).
Supabase: the database for customer and job records.
Google: our business email and calendar, and address suggestions.
Commonwealth of Virginia mapping services (VGIN): address lookup, building outlines and aerial photos for RoofRead. They receive the address only.
Roof measurement providers (such as First Mate and GAF QuickMeasure): we send the property address only, never your name or contact details.
Our phone, text and email providers: to answer calls and send confirmations and reminders.
Lob: to print and mail our letters and postcards.
Our marketing partner for Facebook and Instagram ads: to run those ads and pass us the responses.
Payment processors and Wisetack: to take payments, or if you choose to apply for financing (under Wisetack’s own privacy policy).
GAF and other manufacturers: to register the warranty on your roof.
Our material supplier: the job address, so materials are delivered to the right place.
Our accountant and professional advisers, who must keep it confidential.

We may also disclose information when the law requires it, to protect our rights, property or someone’s safety, or as part of selling or reorganizing the business, in which case this policy still applies to it.

Text messages

We only text you if you agree to it. On our booking form the wording is: “Text me appointment confirmations and reminders from BNH Roofing at this number. Message and data rates may apply. Reply STOP to opt out. Consent isn’t required to book.” How often we text depends on your appointment and job. Message and data rates may apply. Reply STOP to opt out or HELP for help, or call us at 804-604-6316. Agreeing to texts is never required to book or to buy.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third party. Sharing with the providers that carry our messages is only to deliver them.

Letters and postcards

We mail letters and postcards to homeowners near homes we’ve worked on, and to neighborhoods whose roofs are reaching replacement age. We build these lists from public county property records. We never mail a customer’s neighbors on their behalf without asking the customer first.

Each card carries a short code. If you scan it, we record the scan so we know the mail worked. To stop all mail from BNH Roofing, visit go.bnhroofing.com/stop and enter the code on your card, or call or email us. We honor it within 10 business days, though a card already printed may still arrive.

Google data in our job system

BNH runs an internal job system (“Roofbeard”) that connects only to BNH’s own Google accounts, never to a customer’s. With our authorization it reads messages in BNH’s business mailbox that carry roof measurement reports and labels them as processed, sends emails we have approved from that mailbox, and reads and updates events on BNH’s own calendars, such as estimate appointments and crew schedules.

BNH Roofing’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to run BNH’s scheduling and job records. It is not used for advertising, not sold, not transferred except as needed to run those features or as required by law, not read by people except with our permission, for security, or to comply with the law, and not used to train general-purpose AI models.

If you comment on, message or react to BNH Roofing’s Facebook or Instagram pages, we see what you post and your public profile name, as Meta shows it to page owners. We use it only to reply to you and to follow up on a request you made. We don’t buy or build profiles from social media. AI tools

We use AI software from established providers, such as Anthropic, to help with office work: reading measurement reports, drafting estimates and replies for a person to review, and organizing job records. When we can’t pick up, an automated assistant may answer a call or text to take your details and help you book; those conversations may be recorded or transcribed so we can follow up, and you can always ask for a person. Our agreements with these providers don’t allow them to use our customers’ information to train their models. A person at BNH reviews every estimate and contract before it goes to you.

Cookies and tracking

We don’t use advertising cookies or sell data to ad networks. We use your browser’s local storage for the “how you found us” record above and to remember your light or dark theme. Cloudflare may set a cookie needed for security, and Cloudflare Turnstile may check technical details about your browser to tell people from bots.

Because we don’t sell or share data for targeted advertising, there’s nothing to opt out of. We still treat a browser’s Global Privacy Control signal as a request to opt out, and will act on it if our practices ever change.

How long we keep it

Customers: job, contract, payment and warranty records for as long as your warranty runs (some manufacturer warranties last 25 years or more) and as tax law requires.
People who booked or asked but didn’t hire us: up to 3 years, so we can help if you call back. You can ask us to delete it sooner.
RoofRead emails: up to 2 years.
Mail lists: rebuilt from public records for each mailing; scan records deleted after 2 years. Opt-outs are kept so we don’t mail you again.
Anonymous booking-step counts: up to 13 months.
Text opt-ins and opt-outs: at least 4 years, as proof of consent.

Your rights and choices

Wherever you live, you can ask us to:

See the personal information we have about you, and get a copy in a common format.
Correct anything that’s wrong.
Delete it, except what we must keep for a warranty, a contract, taxes or the law.
Stop marketing letters, emails or texts.

These match the rights in the Virginia Consumer Data Protection Act. To ask, use the contact details below. We’ll confirm it’s you (usually by checking the phone or email we have on file) and answer within 45 days. If we need up to 45 more days, we’ll tell you why. There’s no charge, and we won’t treat you differently for asking.

Appeals. If we turn down a request, you can appeal by replying to our answer or emailing us with “Privacy appeal” in the subject. A different person at BNH will review it and answer within 60 days. If you’re not satisfied, you can contact the Virginia Attorney General’s Office at oag.state.va.us.

You can also have an authorized agent make a request for you; we’ll ask for proof that you gave them permission.

How to delete your information

Email support@bnhroofing.com with “Delete my information” in the subject, or call 804-604-6316. Tell us the name, phone or email, and address you used with us. This covers everything we hold, including anything from a booking, RoofRead, our mail program, or a Facebook or Instagram conversation. We’ll confirm when it’s done, and tell you if anything has to be kept for a warranty, contract or the law.

Security

Customer records live in a database that only BNH staff can reach, each with their own login. The keys to our database and calendar stay on our servers and never reach your browser. We use encrypted connections, limit access to the people who need it, and check our systems for weak spots on a regular schedule. No system is perfectly secure, so please don’t send card or bank details by email or text. If a breach ever affects your information, we’ll tell you as Virginia law requires.

Children

Our services are for adults. We don’t knowingly collect information from children under 16. If you think a child gave us information, contact us and we’ll delete it.

Changes

If we change this policy, we’ll post the new version here with a new date. If a change affects how we use information we already have, we’ll ask for your consent first where the law requires it.
